| SYSTEM DESIGN Mailbox Both Small Office and VVP are structured around the concept of "boxes," each of which peforms a different function. Each user can have a personal mailbox, where the system stores your messages. Depending on how your system is installed, you may have a combination of routing, Q&A, ACD, group, directory, ICR or fax boxes. Routing Box A routing box is used to direct callers to other mailboxes based on their response to options presented to them. Q&A Box Q&A boxes contain up to ten questions for callers, and their answers can be stored by the system in either voice or numerical form for later retrieval. Fax Box There are two kinds of fax boxes: fax mail and fax-on-demand. A fax mailbox is like a personal mailbox except it stores faxes rather than voice messages. Fax-on-demand allows callers to select from a list of stored documents that the system will automatically fax to them. ACD Box An ACD box will queue calls for a predetermined extension or group of extensions. The system can play a specific message to the callers depending on the queue they are in. Group Box You can create a box that can send the same message to several people at one time. Directory Box The directory box enables callers to listen to a list of system users and then select the user they want to talk to. ICR Box ICR boxes are used to gather information from a caller (in the form of dialed digits) and then look for a matching database entry. When a match is found, the information can be spoken back to the caller using a series of prerecorded words and phrases. SYSTEM OPTIONS Fax Mail Callers can send a fax to your personal box, which you can retrieve later at your convenience. You can also call into the system when you're out of the office, enter the fax number, and receive your faxes at this machine. Fax-on-Demand You can fax documents into your system and assign them a name. Callers can then select a document from your list, and the system will automatically fax them to a number of their choice. ICR Immediate customer response enables the system to ask callers a series of questions. The caller responds by entering a series of numbers or letters. The system can then query database records, locate a corresponding ASCII text file, and report relevant information back to the customer such as dates, currency, numbers, and/or times. Talking Classifieds Talking classifieds consist of gateway boxes and listing boxes. Using a gateway box, callers can be asked up to six questions and then instructed to choose on of up to nine answers that follow. Based on the profile created by the callers, the system will look for a matching listing box that contains recorded information the caller is likely to be interested in. Outbound Telemarketing The system can be programmed to place outbound calls based on a designated list of phone numbers. When an answer is detected, the system will immediately transfer the call to a predetermined extension. PCIU Version VCM The PC interface unit (PCIU) is a TAPI peripheral. You plug your Comdial digital telephone into the PCIU, and connect a simple cable between the PCIU and your Windows® PC. You then have access to VCM voice mail features. |
